Read the requirements for exhibiting or sponsoring HUF, including claims, demonstrations, belongings, data, safety and written agreements.

1. Scope

These requirements apply alongside your signed HUF agreement. A website enquiry is not an allocation of space or a sponsorship confirmation. Your agreement must name the contracting parties, edition, deliverables, fees, payment dates and cancellation terms.

2. Accurate information

Provide accurate company details, qualifications, registrations and descriptions of your offer. Keep them current. You are responsible for the accuracy of the materials, claims and advice presented by your organisation and representatives.

3. Claims and commercial interests

Make only claims you are entitled and able to support. Do not promise guaranteed health outcomes, hide material limitations or imply that HUF medically endorses your product. Clearly identify commercial interests, paid endorsements and the provider responsible for each activity.

4. Approvals and permissions

Obtain the licences, registrations, professional approvals, product permissions and insurance required for your activity. Give HUF the evidence requested under your agreement. HUF’s acceptance of an application is not a substitute for a regulatory approval.

5. Activity approval

Disclose planned sampling, food service, testing, physical contact, treatment, equipment and data collection before the event. Do not introduce an unapproved activity on site. HUF is entitled to stop an activity presenting a credible safety or legal concern while it is assessed.

6. Health services and consent

Use appropriately qualified staff. Explain eligibility, risks, limitations, cost and aftercare before a participant agrees. Obtain separate informed consent where required. Do not rely on a festival ticket or general waiver as consent to a test, treatment, sample collection or study.

7. Hygiene and equipment

Follow applicable hygiene, infection-control, equipment, electrical, fire, waste and venue requirements. Keep equipment maintained and supervised. Arrange appropriate disposal of any clinical or hazardous waste through authorised services.

8. Food and samples

Provide accurate ingredient, allergen, storage and usage information. Meet the legal requirements for preparation, sale or sampling. Do not distribute unlabelled products or obscure warnings and restrictions.

9. Sales and customer support

Identify your business clearly on receipts and service documents. Disclose the full price, warranties and refund terms before purchase. Handle your own fulfilment, customer support and product or service complaints. HUF does not process or guarantee your sales unless a separate written arrangement expressly says so.

10. Visitor information

Collect only information needed for a stated purpose. Explain your privacy notice before a badge scan or form entry. Do not collect health details in public view, obtain attendee lists without permission or use HUF contact data for an undisclosed purpose. You are responsible for information you collect as an independent provider.

11. Belongings, stock and security

You are responsible for securing your stock, cash, equipment, display items and staff belongings during delivery, setup, event hours and breakdown. Do not leave valuables unattended. General venue security does not provide custody or insure your property. HUF’s responsibility for its own fault and non-excludable duties remains unaffected.

12. Staff and contractors

Ensure that your team and contractors follow the event rules, wear authorised credentials and work only in approved areas and times. You are responsible for the acts and omissions of people engaged by you to deliver your participation, to the extent provided by law.

13. Stand and venue damage

Do not alter the allocated area or venue without written approval. You are responsible for documented damage caused by your organisation or contractors. Any charge must reflect the reasonable cost attributable to that damage, supported by evidence.

14. Insurance

Maintain the insurance required by law and your agreement for your property, staff, public-facing activities and professional services. The specific policies and limits must be agreed before confirmation. Do not assume HUF or the venue covers your goods or activities.

15. Brand and content permission

Use HUF branding only within written permission. Do not describe yourself as an official, exclusive or medical partner unless that exact designation has been approved. Obtain rights for photographs, music, research material and other content you display.

16. No commercial outcome guarantee

HUF does not guarantee visitor numbers, leads, revenue, meetings, media coverage or a return on your participation. Only the deliverables expressly stated in the signed agreement are promised.

17. Incidents and cooperation

Report any injury, unsafe activity, data incident, threatened claim or significant customer complaint connected with the event promptly to the designated HUF contact. Cooperate with a reasonable investigation and preserve relevant records lawfully.

18. Responsibility for claims

You are responsible for losses and third-party claims to the extent caused by your breach, unlawful claim, negligence or misconduct. Any reimbursement or indemnity obligation, defence process and liability limit must be set out in the signed agreement. Nothing here transfers HUF’s own fault to you or excludes a duty that cannot lawfully be excluded.

19. Cancellation and event changes

Your signed agreement must explain cancellation, postponement, relocation, deliverables already supplied, replacement participation and refunds. No non-refundable commercial payment should be accepted without those terms being supplied and agreed.
